Prom is a big night and the transport is part of the memory. It is also an event that often involves parents, friends and a tight schedule. Planning ahead keeps the evening relaxed and means everyone, including the adults paying, knows what is happening.
Decide who is travelling together
Most prom groups are between two and a dozen people. Agree the group early, including partners and anyone being collected from a different address. The number decides the vehicle: a car for a couple or a small group, a people carrier for four to six, and a minibus for a larger friendship group. Our prom car hire page shows the options.
Split the cost fairly
Share the number of people and the vehicle type with the group before you ask for a quote. Agreeing in advance who pays what, and by when, avoids awkward conversations later. Confirm who is the main contact for the booking, and make sure they have everyone’s correct pick-up details.
Build the evening timeline
- Collection times: list each pick-up address in order and allow time for last-minute hair, make-up and photographs at home.
- Arrival: agree the time you want to arrive, and ask the driver to allow for traffic and for the queue of other cars.
- Photographs: most groups want a few at the start. Build in time rather than squeezing them in.
- The end of the night: agree the collection time and place in advance, and tell parents so everyone knows.
Safety and supervision
Parents often feel better knowing the plan. Share the driver’s details, the pick-up and drop-off addresses and the timings with a parent or guardian. Pre-booking a licensed, professional driver means students are not relying on lifts from friends or last-minute taxis late at night. Ask us anything about how we handle a group travelling together.
Pick-ups at the end of the night
The return journey is where many plans fall apart. Decide the collection time with your group, and agree what happens if someone wants to leave early or stay later. Tell the driver the order of drop-offs so the route makes sense.
Booking tips

- Give a realistic headcount and tell us about dresses, suits and any accessories that need room.
- Confirm timings in writing and share them with parents.
