Organising transport for a group is mostly about asking the right questions early. Whether you run a school trip, a club outing or a sports team, these are the things that most often cause problems, and how to avoid them.
Start with the route and the timings
Write down where the group is collected, where it is going, what time it needs to arrive, and when it needs to return. Include any stops. The more precise the route, the more accurate the quote, and the easier it is to check that the driver can legally do the whole day.
Know the group size and the needs in it
Get a confirmed headcount, and ask about anyone who needs extra support: wheelchair users, young children, or passengers who need a seat near the front. Our 57-seater coach has a disabled access lift and an onboard toilet, which matters for longer journeys. Tell us your needs and we will check what is suitable.
Ask about licensing and safety
- Ask whether the operator is properly licensed to carry passengers for hire and reward.
- Ask about insurance and what it covers for your type of trip.
- Ask how drivers are vetted. For school and youth groups, ask what checks are made on drivers.
- Check that seat belts are fitted and that passengers will be asked to wear them.
- Agree who is responsible for supervising the group on board.
Driver hours are a real limit
Professional drivers must take breaks and rest by law, and the rules apply to coaches and minibuses. On a long day, that can affect how far the vehicle can go and how much time you have at the destination. Give us the full itinerary so we can plan breaks into it, or add a second driver where needed.
Plan the stops and the return
- Pick a safe, easy place to collect the group, not a narrow street or a busy junction.
- Agree a toilet and refreshment stop on longer journeys.
- Decide the return time and let parents or members know it.
- Nominate one person as the contact for the driver on the day.
Keep a simple checklist for the day
A register of who is on the vehicle, emergency contact numbers, and a printed copy of the itinerary make a calm day easier. Our school trips and football and sporting events pages cover the two most common types of group booking, and our group travel overview lists all the vehicles.
